Check-in Procedures

Travel Planning

Plan ahead! Make advance reservations for temporary lodging, especially during high peak PCS times such as summer and holidays such as Spring break, Thanksgiving & Christmas. 

Navy Lodges -- Some Navy Lodges now allow pets, however room availability is very limited so reservations are required. In the Hampton Roads area, all the Navy Lodges at have ‘pet rooms'. The requirements are:

  • Maximum 2 pets, no bigger than 50 lbs each
  • Must have a crate to keep pets in if you are out of the room
  • Veterinary records with shot records
  • Must sign ‘Pet Policy Agreement'
  • $30 non-refundable fee for 1 night's stay
  • $55 non-refundable fee for 2-6 night stay
  • $100 non-refundable fee for 7 or more nights stay
  • Must call the specific lodge if you make reservations using the Online reservation system to confirm a ‘pet room' is available.

The regional Navy Gateway Inns do not allow pets, so you will need to make alternative arrangements if no ‘pet rooms' are available at the Navy Lodges. In the Hampton Roads area, hotels and motels are available in all price ranges and some allow pets.

Service members are strongly encouraged to ask their detaching or gaining command about Temporary Lodging Expense or Temporary Lodging Allowance, which can off-set the cost of temporary housing at the losing or gaining duty station.  This financial entitlement is obtained at the command and should be applied for before expecting reimbursement for lodging costs.

Reporting Procedures

All reporting personnel must stop at the Quarterdeck, located in Building 230 (White House). Here you will have your orders endorsed by the station Junior Officer of the Day (JOOD). The quarterdeck is manned 24-hours a day and can be reached at 757-433-2366. After checking in with the JOOD, all military personnel are sent to the Personnel Support Detachment (PSD) located in Building 326 on D Avenue. The PSD is open from 7:30 to 4:00 p.m., or may be reached, in case of emergencies, through the PSD Quarterdeck at 757-433-5933.

Don't forget to ask your sponsor about your new command's specific check-in policies. This is especially important if the command is deployed when you are scheduled to arrive at NAS Oceana.

If you are single and require bachelor's quarters, you can call the Combined Bachelor Quarters, 757-433-2574 to make a reservation.

What to do if you get Married En route

If you get married before you PCS, you must inform your commander and follow the procedures exactly as you are given them. The military will not pay for travel and housing for your spouse if you do not follow proper procedure.

Documents to Hand Carry

Keep all important papers with you while traveling. These include PCS orders, marriage certificate, birth certificates, medical records, immunization records (especially if you have school age children), household inventory, ID cards and insurance papers. Make sure you have the phone numbers for your sponsor, new command and ombudsman handy in case of emergencies.

Family members traveling separately from the service member should maintain a copy of the service member's "Page 2" (second page of the service record which lists dependent data), PCS orders and any needed Powers of Attorney.
